    Hi,

I’m planning to start Day 1 of the below cadence on Monday, so looking for any feedback or suggestions to improve it:

    Day 1: Email
    Day 2: LinkedIn InMail
Day 4: Email with case study
    Day 4: Connect on LinkedIn
    Day 7: Call
Day 7: WhatsApp voice note if no call pick up
    Day 9: Email
    Day 10: Email
    Day 14: Break up email

    Day 1: Email

Subject: [name], is your team estimating in spreadsheets or complex software?

    Dear [name],

I was speaking with the estimation manager of a top construction company in [region], and he said that increasing estimation efficiency was a top priority due to the high volume of tenders in [region] right now.

I shared with him that one of our clients won 3 projects within 2 weeks of rolling out our software, with just one estimator on the team. He decided to sign up shortly after.

Leading companies in the Middle East, like company A, B, C, and many others trust BidBow to help them make estimation faster, easier, and more accurate.

Does it make sense to have a quick call to see if we can do the same for you?

    Day 2: Linked In InMail

Subject: [name], is your team estimating in spreadsheets or complex software?

    Dear [name]

I’m the daughter of a civil engineer and CEO of BidBow. We provide estimating software for construction companies.

Our software is used by many companies in the Middle East and it has helped them improve estimation efficiency and accuracy. Companies such as company A, B, C, and many others.

Unlike alternative solutions that introduce a lot of complexity, BidBow is giving companies results in a fraction of the time with fewer and more junior estimators.

Are you looking to move away from estimating in spreadsheets or other software to a more accurate, easy, and efficient solution?

Day 4: Email with Case study

Subject: [Name], is generating budget reports a burden for your team?

    Dear [name],

I recently contacted you on LinkedIn and thought I’d follow up regarding a case study we just published.

We helped company A solve the challenge of generating budget reports for finance. They now have much better visibility and budget control. Best of all, they achieved this while significantly improving estimation efficiency, accuracy, and win rates.

Would there be value in me sending you the case study that explains how we did it?

Day 4: Connect on Linked In

    Day 7: Call

Are you the person in charge of cost estimation at x?

    Response 1: That’s Barry
Ok thanks, could you connect me with him? Can I tell them that you referred me?

    Response 1: That’s me

This is Hadeel from BidBow. I was wondering, are you using software to estimate your tenders right now or are you still using spreadsheets?

    Response 2: Yea spreadsheets …

That must be challenging. How are you managing with that?

Response 3: yea it’s challenging. (starts to reveal issues..)

Based on what you’re telling me, looks like we might be able to help. Does it make sense to schedule an online meeting to discuss?

Response 3: Fine. I think we’re all set.

We help estimation managers make estimation more efficient, more accurate, and help them easily generate budget reports for finance. We’ve helped leading companies like company A, B, and many others.

Would it make sense to see if we can improve your current approach so you can submit and win more tenders without having to hire more people?

    Response 2: We’re using a solution

How is solution X working for you?

Response 3: Fine. I think we’re all set.

One of the biggest challenges some of our customers told us about solution x is that it’s very complex and increases the risk of human error. It can make hiring and training estimators much more difficult and costly, because they now not only need to hire great estimators, but also experts in using that software.

BidBow is giving companies better results in a fraction of the time with fewer and more junior estimators.

Would it make sense to see if we can give you an easier and faster solution while reducing your cost and risk?

Response 3: Not happy.. or it’s alright, but..

It seems like you’re seeing some gaps with solution x, and this aligns with what we’ve heard from some of our customers who have used it in the past.

Based on what you’re telling me, I think we can help make things a lot better. Does it make sense to schedule an online meeting to discuss and show you how?

    Day 7: WhatsApp voice message

“Hi [name], this is Hadeel from BidBow. I just called your number because I was reading your LinkedIn profile and noticed you’re an estimation manager at [company x]. I wanted to tell you about software that’s relevant to your work there. We have helped many companies in [country/region] improve estimation efficiency, accuracy, and win rates and simplified budget reporting. We might be a good fit to work with you too. Does it make sense to schedule a meeting to discuss?”

    Day 9: Email

Subject: [Name], is the volume of tenders overwhelming your team?

    Dear [name],

If your team is having a hard time keeping up with the volume of tenders, or if you’re looking to hire more estimators to meet business demands, let’s have a chat.

Our customers report at least doubling their efficiency shortly after starting to use BidBow. Additionally, once they’ve optimized their efficiency, they’re able to hire more junior estimators and get them productive very quickly.

Does it make sense to have a quick call to see if we can do the same for you?

    Day 10: Email

Subject: [Name], implementing estimating software doesn’t need to be complicated

    Dear [name],

One of the concerns we often hear about implementing estimating software is the assumption that it would be a complex, lengthy, and expensive implementation. While it’s true that some software on the market can take days or weeks to implement, you can learn and start using BidBow within a few hours.

We often hear from the same customers who were initially concerned that they wish they had started using BidBow sooner! The minor upfront effort and low cost quickly pays off – it yields compounding efficiency gains and wins the more you use BidBow.

Does it make sense to discuss how we can quickly boost estimation efficiency for your team?

    Day 14: break up email

Subject: [Name], not a good time to adopt estimating software?

    Dear [name],

I have not heard back from you, so I’m hearing that this may not be a priority for you now.

Is it ok if I follow up with you in 6 months to see if things have changed then?

Hey Hadeel, great work! Some thoughts –

    Cadence

    – Combine the email and LinkedIn connection on day 1. If they accept the request, send them a normal LinkedIn DM rather than InMail.
    – Additional email on day 4
    – Additional call on day 10

Day 1: Email + connect on LinkedIn
    Day 2: LinkedIn InMail
    Day 4: Email (additional)
Day 6: Email with case study
Day 7: Call + WhatsApp voice note if no call pick up
    Day 9: Email
    Day 10: Email
    Day 10: Call (additional)
    Day 14: Break up email

    Emails

    Case study email

For each line, ask yourself, “why would they care?”. Every single line has to grab their attention or deliver some value.

    Quick rewrite –

    Dear [name],

Is it a pain to generate budget reports for finance?

We just solved that issue for [COMPANY] with a software tool and some guidance.

Is it OK if I send over a case-study that shows how we did it?

    Subject lines

Subject lines must be much shorter and snappier.

Subject: [name], is your team estimating in spreadsheets or complex software?
Subject: [Name], is generating budget reports a burden for your team?
Subject: [Name], is the volume of tenders overwhelming your team?

    [NAME] – Still using spreadsheets?
[NAME] – Is this a burden?
    [NAME] – Too many tenders?

    Emails

    – No “if this, then we should chat”. If you’re not sure if they have the problem, then you shouldn’t contact them.
    – Double efficiency isn’t as persuasive as “half the time”

    Hi [NAME],

Does it take your team a lots of resources to do your estimations?

We help [TITLE] half the time it takes to estimate jobs. Our customers are then able to hire more junior estimators using our tool too.

Would there be value if I explained how we do it?
